HIPAA Compliance
Health care organizations collectively possess more data requiring compliance than almost any other industry. Within the health care industry, administrators must manage the availability and back-up of data-intensive applications, while ensuring that processes are compliant with HIPAA Privacy and Security Requirements for Protected Health Information (PHI).

The NTG DataVault solution assists Covered Entities—Health Care Providers, Payers, and Clearinghouses — to ensure data availability, honor compliance mandates, and enable these organizations to achieve HIPAA compliance.

NTG's DataVault software and managed service solutions can help health care organizations from the smallest rural clinic to urban medical center ensure their data is reliably accessible, secure and compliant.

The DataVault service is an online automated data backup and recovery service that provides encryption of Protected Health Information (PHI) and alleviates the need for capital equipment purchases such as hardware and media. The NTG electronic vaulting solution has been embraced by hundreds of customers, including many small to mid-size health care entities with little or no IT resources, which outsource this difficult process.

Utilizing NTG's DataVault software and service solutions enables a Covered Entity to meet many of the HIPAA Privacy and Security Requirements for PHI. For example:

— Encrypted data transport ensures files, including patient and billing records, cannot be accessed without the encryption key.
— Encrypted data transport to state-of-the-art data centers ensures information is stored at a secure facility away from primary server facility.
— Automated backup and recovery process eliminates manual handling of removable media (tapes, CDs) by personnel ensuring privacy compliance.

Sarbanes Oxley Compliant
With the inception of the Sarbanes-Oxley Act of 2002, many companies as well as all Registered Public Accounting Firms are now held to a set of stringent guidelines regarding the storage and management of their financial data.  These rules set guidelines for how data should be stored, accessed, and retrieved. Companies using NTG DataVault will find that our offsite data backup solution is fully compliant with Sarbanes-Oxley as well as intelligently reformed in order to make the necessary audits and record keeping as easy as possible.

Secure, encrypted communication
The NTG DataVault service has the ability to transport data through a variety of encryption channels, including 128-bit Blowfish, 128-bit AES, 112-bit triple DES, 56-bit DES, and 56-bit Blowfish.  Each DataVault client has the ability to choose which encryption methodology best fits their needs.

The data is encrypted before it traverses the internet

Prior to your data even reaching the internet (through the encrypted channel described above), all files are compressed and encrypted with an encryption key of your company's choosing. The files are transported and stored in this encrypted state, thereby ensuring that, even if the files were physically obtained or downloaded off of your computer, they would not be useable or readable.

Our staff does not have access to your encryption key

The encryption key used to encrypt your files is known only to your company. It is never transmitted over the network and our staff will not have access to this key. Even though the files are stored off-site in our Data centers, no one will be able to read or view content of the files, even with direct access to the server itself.

Block-Level Backups

Within NTG DataVault, a combination of data compression and delta processing technologies reduce the amount of data required to reconstruct a file being transmitted from a client machine to the data vault for backup purposes. In the case of compression, standard high compression techniques are utilized on a per-packet basis as the data is being transmitted to the server.

The NTG DataVault delta-based algorithm is an industry-leading example of block-level delta processing. In most cases, both customers and internal testing have reported that the NTG DataVault delta-based algorithm, in conjunction with the compression algorithms, has been able to yield in average excess of 10:1 (effective) compression ratios on certain file types.

The block size can vary from 1K to 32K in size based on software settings. Block-level delta processing (for 1K blocks) determines changes on the 1024-byte sector level of a file. The blocks in the file are created by treating the file as a stream of 1 to N bytes. Changes are detected in the blocks by comparing the current block with the previous block in the same position as the image representation from the previous backup. Changed blocks are addressed, compressed, optionally encrypted, and transmitted in order from the first through to the last block in the file. The NTG DataVault delta-based algorithm is particularly beneficial for binary files, databases that are updated in a random manner, and file systems whose basic input-output units tend to be sector based.

Data Center Security
Access to our Data center(s) is controlled through biometric handprint recognition equipment and security-based badging.  Only approved employees are allowed to access the Data center where your server resides. Furthermore, our Data Centers are monitored by Closed-Circuit TV 365 x 24 x 7 and all activity is video recorded.

Operational Benefits
— Backups are done automatically on predefined schedule
— Data is protected and stored offsite immediately
— Standardize key policies and procedures throughout the organization
— Customize data protection to align with corporate initiatives
— Reduce backup window and eliminate the need to perform full backups
— Backups are automatically confirmed on a daily basis
— Restore to multiple locations from single workstation
— Customize data restoration process

Restorations that require written permission and signatures
If you are concerned about confidential company data being restored by malicious parties within your organization, you can choose to allow the restoration of data only after a written request with an authorized signature has been submitted to NTG. This way, no one will be able to restore files using the Management Console without executive approval, even if they have access to the encryption key. Using this scenario, data can only be restored when a top-level executive has declared a state of disaster within the company.

Restrict access to data by IP addresses
You can also restrict access to your backup files from a set of IP addresses specific to your organization. If someone tries to access your data from an IP address outside your organization, their access will be denied. This optional layer of security ensures only employees within the company can perform restorations, even if the correct username and password credentials are supplied.

More Reliable than traditional tape backup
Most customers utilize some sort of tape backup unit for their backup strategy. Those businesses that have ever attempted to perform a restore from tape, however, may question the reliability of tape backup. The facts dictate that tape backup solutions are prone to failure. The most common tape backup solutions experience data attenuation that can be measured annually, as tapes are a form of magnetic media and can wear out much like the tires on a car. Most tapes experience a loss of over 10% of the data or a failure rate of over 10% on an annual basis.

With NTG DataVault, there is no question as to whether or not your backup actually worked. NTG's system provides a progress report after every backup job. Explicitly detailing whether the job passed or failed.
